Rescue your Email management!

Emails are great!

Managing them is not so great.

If you use Microsoft Outlook (as we do) maybe you also suffer the same issues that we have

  • you studiously create new 'email folders' for each of your new clients and copy the relevant emails you receive from and send to each client into the relevant folder. Before long you have dozens of email folders and it takes ages to find the client folder you need.
  • then Outlook prompts you to 'archive' your emails, which of course you do - only to end up with your emails now being split between archive folders and active folders. Trying to find emails before was bad enough!
     
  • archiving seemed a good idea - but how does Outlook archive them? In a Microsoft propietery file which grows bigger and bigger - until you can't archive any more - and at which point you have to create another archive file. So now you have three folders to search!
  • if you're a slightly larger business with either Microsoft Exchange or your staff work in teams, you have an even greater headache. Your clients copy emails to each member of staff - and you now have the same emails on two computers (or three if you use Exchange). And of course, you have a nightly backup to tape or disc - where you're backing up the same unchanged emails every night, with the backups taking longer each night and eventually growing so big that you have to upsize your backup system.

What's the solution? Come and speak to us - we have an Outlook 'plugin' that will allow you to store your emails to normal Windows folders, anywhere on your network. Typically, you create a Windows folder to hold all the correspondence and documents associated with your client (or sub-project of a client) and your staff simply drag-and-drop emails from their Outlook into the folder. And when the client project is finished, you archive the complete folder to CD, DVD or whatever - and free the disc space for re-use. If you need to retrieve or view an email at a later date, our plugin will allow you to view it straight from the archive.

In theory, you can already drag-and-drop Outlook emails to Windows folders but it falls over very quickly. Some clients have the habit of replying to emails and never changing the subject line. Outlook will not allow you to store two different emails with the same subject line! We also take care of the situation where two members of staff try to store the same email that's been copied to each of them.
